This Privacy Policy explains how KME Software, LLC (“we,” “us,” or “our”), which operates the personal finance application The Penny Tracker (the “Service”), collects, uses, and protects information about you. By creating an account or using the Service, you agree to this Policy. If you do not agree, please do not use the Service.
1. The short version
- The Penny Tracker does not connect to your bank or any financial institution. You create your own accounts inside the app and enter or update the balances and transactions yourself (or by importing a file you provide). We never ask for, receive, or store your bank login credentials, and we have no access to your real financial accounts.
- We do not sell your personal information.
- You can request deletion of your account at any time. After a short restore window we permanently delete your data (see Section 6).
2. Information we collect
We collect the following categories of information:
- Account information. When you sign up, our authentication provider collects your name, email address, and login credentials. We use this to create and secure your account.
- Financial information you choose to enter. The account names, balances, transactions, budgets, savings goals, debts, mortgage and loan details, household member labels, and similar details you manually enter into (or import into) the Service, including any optional flags you apply (such as tax-deductible, business, or medical labels). This information is created and controlled by you; it is not retrieved from any bank or third party.
- Files you upload. Receipt images or PDFs you choose to upload, which we store and process (including with AI tools) to extract details such as merchant, date, and amounts. See Sections 4 and 6.
- Payment information. If you subscribe to a paid plan, our payment processor collects and processes your payment details. We do not store your full card number; we receive only limited information such as your subscription status and the last four digits of your card.
- Usage and technical data. Information automatically collected when you use the Service, such as IP address, browser and device type, pages viewed, and diagnostic logs, used to operate, secure, and improve the Service.
3. How we use your information
We use the information we collect to:
- provide, maintain, and operate the Service;
- generate the budgets, summaries, charts, and optional AI-assisted insights you request;
- process subscriptions and payments;
- respond to your support requests and communicate with you about the Service;
- monitor, secure, debug, and improve the Service; and
- comply with our legal obligations and enforce our Terms of Service.
4. AI-assisted features
Some optional features rely on a third-party artificial-intelligence provider, currently Anthropic (the maker of Claude). When you use one of these features, we send the relevant data to that provider to generate the result you requested:
- Receipt extraction — the receipt image or PDF you upload;
- Import categorization — the transactions you are importing; and
- Financial Review — a summary of your recent transactions and finances (up to roughly the past 12 months).
The provider processes this data only to return a result and, under our agreement with it, does not use your data to train its models. If you do not use these features, this data is not sent for AI processing.
5. How we share information
We do not sell your personal information. We share information only as described below.
Service providers (subprocessors). We use trusted third parties to run the Service. Each processes your information only to provide services to us and is bound by confidentiality obligations:
- Clerk — authentication and account management;
- Stripe — subscription billing and payment processing;
- Vercel — application hosting and file storage (uploaded receipts);
- Neon — database hosting;
- Resend — email delivery; and
- Anthropic — AI processing for the features described in Section 4.
We may add, remove, or change service providers over time and will update this Policy when we make material changes. We may also disclose information if required by law, legal process, or government request, or to protect the rights, property, or safety of us, our users, or others. If we are involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to this Policy.
6. Data retention and deletion
We retain your information for as long as your account is active. You may request deletion of your account at any time. When you do, we retain your data for a limited grace period (currently up to 90 days), during which you can restore it by signing back in; after that period we permanently delete it from our active systems. Uploaded receipt images are retained for a shorter period (around 60 days) unless you attach them to a transaction. We may retain certain information longer where required to comply with legal obligations, resolve disputes, or enforce our agreements.
7. Security
We use commercially reasonable administrative, technical, and physical safeguards designed to protect your information, including encryption of data in transit and at rest. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your login credentials confidential.
8. Your choices and rights
You can review and update most of your information directly in the app. You may request to delete your account at any time, which removes your associated data as described in Section 6. Depending on where you live, you may have additional rights — such as the right to access, correct, delete, or port your personal information, or to opt out of certain processing. To exercise these rights, contact us at support@thepennytracker.com. We will respond as required by applicable law. We do not sell personal information or use it for cross-context behavioral advertising.
9. Age requirement
The Service is intended for adults aged 18 and over and is not directed to anyone under 18, consistent with our Terms of Service. We do not knowingly collect personal information from anyone under 18. If you believe someone under 18 has provided us information, please contact us and we will delete it.
10. Cookies
We and our providers use cookies and similar technologies that are necessary to operate the Service (for example, to keep you signed in) and to understand how the Service is used. You can control cookies through your browser settings, but disabling them may affect how the Service works.
11. Changes to this Policy
We may update this Policy from time to time. If we make material changes, we will update the “Last updated” date above and, where appropriate, notify you. Your continued use of the Service after changes take effect means you accept the updated Policy.
